Annual Fund & Grants Manager

Reports to: Chief Advancement Officer
Position Type: Full-time, exempt
Compensation: $85,000-105,000, depending upon experience

Location: Atherton, CA – This position is an in-person position

Position Overview

The Annual Fund & Grants Manager is responsible for all annual giving mailings and strategies, including Day of Giving activities and events. This position also oversees all grantmaking opportunities for Menlo College. This is an in-person position; Menlo College is located in Atherton, CA.

Essential Duties and Responsibilities

Annual Fund Responsibilities (70%):
  • Develop and implement a comprehensive annual giving strategy, including tracking and analyzing the performance of annual giving efforts
  • End-to-end management of a targeted, multi-approach annual fund program: including direct mail, email campaigns, analysis of donor data and gift trends, administering a follow-up program, and participating in Giving Tuesday
  • Draft donor-centric communications, including gift acknowledgement letters, email campaigns, stewardship pieces, direct mail, social media content, peer-to-peer fundraising materials, web content, phone scripts, and press releases
  • Manage annual scholarship stewardship process, documenting scholarship activity and updates, allocating funds with financial aid, coordinating thank you letters with students, and drafting scholarship reports
  • Serve as a point of contact for alumni, donors, and other stakeholders, managing the office’s general email inbox
  • Design and administer annual donor surveys, compiling and distributing results
  • Supervise student worker conducting thank you calls to all donors under $500
  • Build and update phone scripts, physical thank you instructions, and troubleshooting
  • Track, steward, and administer non-scholarship donor-funded endowed funds
  • Maintain accurate donor records in Salesforce, ensuring all interactions and contributions are properly recorded
  • Event support: invitations to President’s Circle major donor event, greeting at campus events, as needed support on Oaktoberfest, Commencement, and reunions
  • As needed: compiling materials for board meetings, note taking at advancement committee meetings

 

Grants Management Responsibilities (25%):
  • Research grant opportunities for the benefit of Menlo College
  • Support the application process for grant opportunities
  • Manage grant funding disbursements and tracking
  • Provide required reporting to grantmaking institutions
Management (5%):
  • Manage student worker in data entry and research assignments
  • Other duties as assigned

Education, Skills, and Experience

  • BA/BS degree or equivalent required
  • 2+ years’ experience using a relational database, Salesforce preferred
  • Proficiency with Excel required
  • Donor database experience in a fundraising department preferred
  • Strong attention to detail and accuracy
  • Proficiency with Google Suite preferred
  • Ability to work occasional evenings and weekends
