Assistant Director of Student Financial Resources

Salary: $75,000-80,000, DOE
Location: Atherton, CA – in-person position

Position Overview:

The Assistant Director of Student Financial Resources serves as both a front-line resource for undergraduate and graduate students and families, and is an integral member of the Student Success team, which includes financial aid and academic advising. On the student-facing side, this position helps students understand and resolve financial obligations, explores payment options, and connects students and families with the resources they need to pay for college. Financial resources in this role refers to the full range of tools students use to cover the cost of attendance, including: federal and state grants, education loans, scholarships, payment plans, college savings plans, veteran and military benefits, student employment opportunities, and international payment options.

On the operations side, this position supports the Financial Aid Office by assisting with reconciliation, compliance, and other administrative tasks that ensure accurate and timely disbursement of funds. This includes verifying that federal, state, and institutional financial aid records reconcile with campus systems and external agencies. By balancing both student coaching and operational responsibilities, this position plays a vital role in supporting student success while safeguarding institutional integrity.

Key Responsibilities:

Student Coaching and Support
  • Serve as the first point of contact for students and families regarding billing, payments, and financial obligations.
  • Manage a caseload of students with financial holds or those at risk of holds, providing individualized support and solutions.
  • Counsel families on available payment options and funding resources, including:
    • Federal and state grants
    • Federal and private education loans
    • 529 college savings plans
    • Veteran education benefits (School Certifying Official Training Required)
    • Outside scholarships
    • Payment plans and self-pay options
    • Student employment opportunities
    • International wire payments
  • Partner with the Bursar’s Office to resolve account issues and ensure accurate student account records.
  • Lead or assist in financial literacy programming for students and families.
  • Maintain confidentiality and professionalism when handling sensitive financial information, and maintain compliance with FERPA.
Financial Aid Operations and Reconciliation
  • Support the Financial Aid Office in reconciling federal (Direct Loans, Pell Grant, SEOG, Work Study), state (California Grant), and institutional aid records between the respective department funding systems (COD, NSLDS, Webgrants) and the college’s Student Information System.
  • Assist in monthly, term, and year-end reconciliation processes to ensure compliance with federal and state regulations.
  • Monitor and resolve discrepancies in aid disbursements, loan records, and grant reporting.
  • Provide general administrative support for the financial aid team, including reporting, document processing, and student record maintenance.
  • Collaborate with the Housing Office and the Registrar to ensure accurate posting of aid and timely resolution of issues.
  • Collaborate with Student Accounts, the Bursar’s Office, and the Financial Aid Office to ensure timely resolution of account issues and maintain accurate student account records.
  • Provide guidance on the intersection of financial aid awards, billing, and payment resources to help families make informed decisions.

Qualifications

Required:
  • Bachelor’s degree or equivalent combination of education and experience.
  • Strong interpersonal and oral and written communication skills with the ability to explain complex financial concepts clearly.
  • Demonstrated customer service orientation and problem-solving ability.
  • Working knowledge of key higher education funding resources (federal/state aid, loans, scholarships, payment plans, etc.).
  • Proficiency with Microsoft Office Suite (Excel, Word, Outlook) and comfort learning new student information systems.
  • Empathy and patience when working with students and families.
  • Ability to manage multiple priorities while maintaining attention to detail.
  • Collaborative team member with a proactive approach to student success.
Preferred:
  • Experience working in higher education, customer service, or financial services.
  • Familiarity with student billing systems, financial aid processes, or case management practices.
  • Multilingual skills to serve a diverse student and family population.

Availability

  • Some weekend and evening hours will be required for this position to support Student
    Success team coverage for orientation, admissions open houses, and student success
    and financial literacy events.
