Operations Coordinator

Position Summary

Operations Coordinators play a vital role in supporting Menlo College Operations and Conference Services program. Under the direction of the Executive Director of Operations, coordinators execute events for students, faculty, staff, and external guests while also assisting with on-campus projects. The ideal candidate thrives in a team environment, is passionate about delivering exceptional service, and possesses strong organizational and communication skills.

Key Responsibilities

Event Coordination and Preparation
  • Assist with the setup and preparation of event spaces, ensuring cleanliness and functionality.
  • Coordinate with internal departments (Security, Parking, Dining, IT, Student Housing, Facilities) to meet event needs.
  • Conduct pre- and post-event inspections, reporting damages or maintenance issues per Conference Services procedures.
  • Manage linen and equipment inventory, ensuring client needs are met and documented for invoicing.
  • Prepare, distribute, and collect signage for events.
Client and Guest Services
  •  Serve as a resource for all conference participants, demonstrating a thorough knowledge of campus facilities and equipment.
  • Familiarize group leads with Menlo College’s policies, emergency procedures, contact information, and necessary campus layout.
On-Call and Duty Coverage
  • Fulfill weekend, evening, and holiday duty shifts as scheduled.
  • Adhere to the on-call schedule, remaining accessible by phone and available in person within 15 minutes when required.
Operational and Administrative Support
  • Contribute to program organization, process development, and infrastructure improvements.
  • Assist in capturing and posting content for Conference Services social media. c. Maintain a professional and positive image of Menlo College through excellent customer service and problem-solving skills.
  • Perform other duties as assigned.

Qualifications

  •  Leadership experience on campus or in a community setting.
  • Strong initiative, with the ability to prioritize tasks and meet deadlines.
  • Excellent interpersonal, problem-solving, and decision-making skills. Exceptional attention to detail and strong written and verbal communication skills.
  • Outstanding customer service skills.
  • Proficiency in Microsoft Office and Google Suite, with the ability to quickly learn new technologies.
  • Ability to lift up to 50 pounds.
  • Demonstrated cultural competence and ability to work with diverse populations. Personal integrity, emotional intelligence, and a sense of humor.
