Operations Manager

Position Summary

The Operations Manager provides leadership in enhancing the Menlo College campus experience while supporting revenue generation through campus facility rentals. This position provides leadership in planning, directing, and evaluating events and programs with and for Menlo College students, faculty, and staff, as well as external constituencies. Additionally, the role includes serving as the lead for the summer internship housing program. The ideal candidate will have a strong background in customer service and administration, excellent organizational and communication skills, exceptional team-building skills, and a drive to innovate to implement efficient, effective processes.

Key Responsibilities

Event Coordination
  • Oversee the planning and execution of on-campus events in collaboration with Menlo College students, faculty, and staff.
  • Coordinate with internal departments such as security, parking, dining, IT, housing, and facilities to meet event-specific requirements.
  • Ensure event spaces are properly cleaned, maintained, and repaired in collaboration with the facilities team.
  • Direct campus signage production, display, and storage and ensure effective signage strategy and systems are maintained.
  • Maintain an inventory of event equipment and supplies for use by both internal and external clients.
  • Manage bookings for athletic facility rentals and short-term classroom, auditorium, and event space rentals.
  • Collaborate with the Executive Director of Operations to assist with larger off-campus event rentals.
  • Facilitate events hosted by the President’s Office to ensure seamless execution.
Staff Supervision and Development
  • Recruit, train, and supervise student workers and professional staff, ensuring excellent service and operational support for all events.
  • Develop and implement a comprehensive training program to enhance the performance management of the student workforce.
  • In cooperation with the Athletics Department, manage a volunteer program, allowing students to earn SERV hours by assisting with campus events. 
Summer Programs
  • Provide strategic oversight for all summer conference and internship housing programs, ensuring financial success, operational efficiency, and an excellent participant experience.
  • Lead a team of student workers to execute conference logistics, including linens, keys, signage, classrooms, dining, and event setup and teardown. Serve as the primary point of contact for residents participating in the internship housing program, accommodating approximately 350 individuals during the summer of 2026.
Marketing and Branding
  • Develop and execute a marketing and branding strategy and oversee social media presence for Menlo College Conference Services.
Financial Administration
  •  Manage payment processing and financial tracking for all conference services activities.
  • Assist with budget development, revenue forecasting, invoicing, and financial reconciliation for the department, in cooperation with the ED of Operations.

Qualifications

  • Bachelor’s degree, Master’s degree preferred. Equivalent experience considered.
  • Minimum of 3-5 years of progressively responsible experience in event management, conference services, or a related field, with at least 1-2 years in a supervisory or managerial role.
  • Successful experience building, managing, and developing teams. Proven ability to manage complex projects and competing priorities. Exceptional attention to detail, with strong written and verbal communication skills.
  • Outstanding customer service abilities.
  • Proficiency in Microsoft Office Suite, with the ability to quickly learn and teach new technologies.
  • Demonstrated cultural competence and ability to work effectively with diverse populations.
  • Personal integrity, emotional intelligence, and a sense of humor.
